The commercial document should also identify the inspection standard, carton configuration, production date or batch identification where required, and the process for handling nonconforming goods. This prevents a dispute in which the buyer and factory are evaluating different versions of the product.

Do not assume that one universal size chart will fit every market. Collect measurements from the intended customer base or compare the proposed chart with returns, reviews, and sizing data from the buyer's existing products. Toenail width, curvature, and preferred coverage can vary between users, and a set that looks correct on a display sample may be uncomfortable on a different nail bed. Request a complete toe-by-toe size chart with measured width and length, not only labels such as small, medium, or large. Test several samples on users representing the target market, including people with flatter, more curved, or narrower nails. Record fit results, edge contact, pressure points, and the amount of filing needed. If the range is uncertain, a broader assortment or clearly explained sizing choice may reduce returns more effectively than simply increasing decoration or packaging.

Use a project-specific test plan rather than treating a sample approval as proof of bulk performance. Application trials should assess whether the adhesive system bonds consistently after normal nail preparation, whether removal damages the product or leaves unacceptable residue, and whether the bond remains suitable for the intended use conditions. The test method, application time, preparation steps, and evaluator observations should be recorded so results can be compared between samples and production lots. Inspect the UV-coated surface for incomplete coverage, scratches, lifting, uneven gloss, sharp edges, and decoration that interferes with fit. Packaging trials should include compression, vibration, handling, and exposure conditions relevant to the planned distribution route. Check that individual pieces remain organized, instructions are legible, and adhesive components are protected. A manufacturer-provided MSDS may support review of adhesive-related information, but importers should confirm whether additional destination-market testing or declarations are required.

Separate the commercial decision into demand risk, production risk, and logistics risk. For an initial launch, compare the cost of a smaller customized run with the potential cost of unsold stock, markdowns, damaged packaging, or a sizing mistake. A low unit price at a large MOQ is not necessarily economical if the design, fit, or market response remains unproven. Use a staged plan: approve samples, place a controlled first order, review sell-through and customer feedback, then expand the assortment or quantity. Put the agreed sample version, packaging artwork, production window, payment milestones, and change-approval process in writing. Ask how holidays, raw-material availability, artwork revisions, and inspection holds affect the schedule. Keep safety stock decisions separate from the supplier's stated lead time, because freight delays and customs processing occur outside factory production.

Begin with the destination country's requirements and the product's actual composition and intended claims. Confirm the tariff classification with a qualified customs broker, because classification, duty treatment, labeling, and import controls are determined by the product details and destination—not by a supplier's marketing description alone. Prepare the commercial invoice, packing list, transport documents, accurate product description, country-of-origin information, and any requested test or compliance records. Request the relevant documentation before production, including available ROHS, REACH, and MSDS records stated by the manufacturer, and check that the document scope matches the finished product, adhesive, packaging, and destination market. An MSDS generally addresses material safety information and is not automatically a complete cosmetic or consumer-product compliance file. Avoid unsupported claims such as medical, therapeutic, or universally non-toxic performance. Have local counsel, a broker, or a conformity specialist verify whether declarations, language requirements, chemical restrictions, or additional reports apply.

Define acceptance criteria before production and give the inspector an approved reference sample, size chart, artwork, packaging specification, and defect catalogue. Inspection should cover quantity, assortment, dimensions, shape consistency, color and print accuracy, coating condition, sharp edges, contamination, decoration security, adhesive packaging, instructions, barcodes, and carton markings. Measure representative pieces rather than relying only on visual review, especially when fit and curvature are commercial priorities. Use a sampling plan appropriate to the order value and buyer's tolerance for defects, with critical, major, and minor defects categorized in advance. Inspectors should record lot identification, sample size, measurements, photographs, and rejected quantities. If defects exceed the agreed limit, pause shipment and require documented corrective action or reinspection. A pre-shipment report reduces uncertainty, but it does not replace supplier process control, retained samples, or a contract that clearly defines remedies for nonconforming goods.
